MEETING MINUTES

NORTHPORT WASHINGTON HISTORICAL SOCIETY
April 24, 2018
Welcome Center


CALL TO ORDER
President Jael Regis called the annual meeting to order at 5:05 p.m.


ATTENDANCE
Attending were President Jael Regis, Treasurer Ann VanDielen and Secretary Rose Kalamarides. Also attending were Rick Scoles, Glen Merchant, Amy Howell, Nora Graham, Julie Sowards and Tom Graham.


APPROVAL OF MINUTES AND AGENDA
President Jael Regis reviewed the minutes of the meeting of March 27, 2018 and the agenda for the April 24, 2018 meeting.

MSP to approve the minutes of March 27, 2018 as presented.


MOTION
MSP to approve the April 24, 2018 agenda.


TREASURER’S REPORT
Ann VanDielen presented the Treasurer’s report, for the period March 27, 2018 to April 23, 2018. The Treasurer’s profit and loss statements showed income of $339.30 and expenses of $12.01 for net income of $327.29. She explained the $46.18 not reflected in the balance sheet from the prior meeting. She also reviewed the balance sheet as of April 23, 2018 which now includes the assets of the Historical Society. Total assets and liabilities are $52,345.27

MSP to approve the Treasurer’s Report of April 23, 2018, as presented.


Treasurer VanDielen also presented a list of bills to be approved for reimbursement of totaling $258.57 including Avista for $9.06, the Stevens County Treasurer for $229.49, the Washington Department of Revenue for $10.02 and the Washington Secretary of State for $10.00.


MOTION
MSP to approve payment of the expenses as presented.


Treasurer VanDielen presented and reviewed the petty cash fund activity since February 7, 2018, which has a current balance of $162.56.
Treasurer VanDielen then discussed the property tax exemption which takes approximately 60 days. Secretary Kalamarides will file the application for the exemption. She has been in contact with the assessor, Chris Baker, who will review the application.

MSP to approve the Treasurer’s Report, as presented.
Treasurer VanDielen discussed the need for a resale certificate and explained that she is in the process of requesting a certificate from the State.


MOTION
MSP to approve proposal to acquire a resale certificate.


Ms. VanDielen announced that the Northport Historical Society is enrolled in Amazon Smile, a charitable website that allows anyone to pick a charity and donate .5% of every Amazon purchase. The site is smile.amazon.com. Access to the site will be posted on the Facebook page and the website in order to generate interest in donating to our Society.


OLD BUSINESS


Welcome Center
Status Report
The group discussed the success of the Work Party on April 22 and then scheduled the next one on May 2 at 10 a.m. Secretary Kalamarides will continue to pursue a construction bid for grant writing and other issues. The group compiled a list of carpenters who live in the community who may be willing to help on the project. It was decided by the group that Rick Scoles will supervise the prepping and painting project. As someone who worked as a house painter and owned a business, Mr. Scoles is uniquely qualified. Diane Wilson, Jael Regis and Rick Scoles will determine the paint colors for the house and will consult with Nicholas Vann, the architect for the State of Washington Historical Architect. Ms. Kalamarides will coordinate a meeting with Brian at GSI windows to help determine the best option for either maintaining the original windows or replacing them.


Volunteers
Ms. VanDielen said she would meet with Diane Wilson and bring a Volunteer Release Form to the next meeting. She also encouraged everyone to get their timecards turned in. She will provide a template at each function for volunteers to sign in and record their time in the future. Ms. VanDielen requested everyone review the Safety Manual which is in Dropbox.




Artisans
President Regis indicated that she will continue to pursue the Gallery issue with local artisans.


Fund Raising
President Regis said she will meet with Vice President Wilson to review the list of businesses to determine to whom to mail the tri-fold with cover letter. Ms. VanDielen suggested that the cover letter to the businesses also request the business owners become members of the Society. Ms. Kalamarides will pass that on to Maggie Crabtree who will write the cover letter. President Regis said that once the budget is determined, she would work on the progress gauge for the Welcome Center project.


Policies and Procedures
Ms. VanDielen said she put the policies and procedures in Dropbox for editing. She encouraged everyone to take a look. She will email the documents to those who choose not to use Dropbox. She also indicated that Banner Bank still needs information relative to the check signers.


Website
Jada Regis said the minutes of the meetings and the plans for the Welcome Center are on the website.


NEW BUSINESS


Annual Audit
Pursuant to the by-laws, the annual audit is due. Christy Graham will lead the audit with Paul Currier and Rose Kalamarides assisting. Treasurer VanDielen will provide Christy will all information.


Welcome Center Newsletter
Secretary Kalamarides said that donors are probably curious about the progress of the Welcome Center renovation. She will draft and circulate a newsletter to go out to all donors and interested parties. She will also provide Jada Regis a list of all donors to post on the website.


Tools for Welcome Center Renovation
Rick Scoles will provide Ms. Kalamarides a description of a random orbital sander needed for prepping the exterior. She will approach business to donate the equipment.


NORTHPORT STORY
Jada Regis showed a picture of the Pierce family in 1903 in a beautiful home which had been on Summit Avenue. Tom Graham, a relative of the Pierces’, discussed the provenance of the picture.


ADJOURNMENT
The meeting was adjourned at 6:45 p.m.


The next scheduled meeting will be May 22, 2018 Tuesday at 5:00 p.m. at the Welcome Center.
